Job Description:

Our client - a major utility firm based out of upstate NY - has an immediate need for a Site Procurement Buyer. The particulars of the position are as follows.

Project Overview:
This role will support the strategic supply operations in upstate New York - Niagara.

Job Functions & Responsibilities:
• Prepare bid documents, price inquiries and addendums for all the various departments for equipment, construction and services contracts
• Ensure all required contract documents are in compliance and complete, and execute agreements, change orders, releases, etc. up to the predetermined $25,000 limit.
• Obtain RFP Q-Numbers on behalf of Senior Procurement Agent, and add new RFQs to RFQ Bid Tracking System, in the Buyer’s name.
• Prepare and bundle CDs of bid document drawings, sketches, etc. for each RFQ, as well as Appendices requirements for each new RFQ based on established templates.
• Obtain list of potential bidders for specific solicitation.
• Obtain list of potential MWBE bidders from SDP Director for use on solicitations, as directed.
• Draft preliminary Contract Reporter Ad for issuance in the assigned buyer’s name, for all Procurement Division sectors.
• Obtain Dun & Bradstreet reports for use in the evaluation of proposal and review of financials.
• Draft Bid Opening Witness Form in the assigned buyer’s name.
• Draft Bid Document transmittal memorandum in the assigned buyer’s name.
• Obtain missing bid/contract submittal requirements.
• Assemble unsuccessful bid proposals for transmittal to IRC storage.
• Retrieve contract files from IRC, as requested.
• Assist in MWBE contract award data collection for the Supplier Diversity Program.
• Assist in collection of necessary information for Trustee approval of contracts /extensions.

• SAP and Arriba
• Microsoft Office
• Highly collaborative and team-oriented, with ability to build relationships with suppliers and technical and business resources.

• Solid presentation, verbal and written communication skills.
• Sense of humor and teams’ spirit for fast-paced environment
