Job Description:
The PPM Help Inbox Coordinator is responsible for managing a shared email inbox entitled “PPM Help Inbox” and ensuring that all incoming requests are addressed promptly and efficiently. This role involves both executing tasks directly and delegating requests to appropriate team members or departments. The PPM Help Inbox Coordinator works to maintain seamless communication and ensure high standards of service delivery and accuracy.
Background
HP PPM (Project and Portfolio Management) is a software that enables our teams to manage projects, resources, financials, and other operational activities. The PPM Help inbox is a centralized email inbox that our managers correspond with when they have any questions, instructions, and/or requests for changes in PPM. The PPM Help inbox coordinator will process the majority of the requests that come through this inbox independently but will also collaborate with other team members as needed to execute tasks efficiently and accurately. The types of requests that will be addressed via this inbox pertain to but are not limited to the on and offboarding of employees and consultants, time sheet management, financial and date change requests, resource project allocations, and project approval workflows.
Key Responsibilities
o Inbox Management
o Monitor and organize incoming emails to ensure timely responses.
o Categorize and prioritize emails based on urgency and importance.
o Respond to straightforward inquiries or complete requests independently.
o Assign emails to relevant team members or departments when tasks require specialized attention.
Task Execution
o Handle and resolve routine or recurring requests directly, minimizing delays.
o Ensure proper documentation of tasks is in place.
o Communication Coordination
o Act as the central point of contact for inquiries received through the shared inbox.
o Ensure consistent and professional communication standards across all responses.
o Escalate complex or sensitive issues to appropriate stakeholders.
o Team Collaboration
o Coordinate with team members to ensure proper coverage of the inbox during peak times.
o Contribute to the culture of accountability and responsiveness within the team.
Skills

· Proficiency in email platforms and productivity software (e.g., Microsoft Office Suite).
