Job Description:

Trigyn has a contractual opportunity as an IT Support Specialist. This resource will be working at Geneva, Switzerland.

Job Responsibilities:

We are seeking a dedicated IT Proximity Support Specialist who will provide hands-on technical support and manage IT equipment for end users, with a focus on ensuring seamless operations within high-stakes environments, including supporting the Executive Office (EXO). The role involves troubleshooting hardware and software issues, managing meeting room technology (such as video conferencing systems), and ensuring the proper functioning of IT infrastructure. The specialist will be responsible for setup, configuration, maintenance, and upgrades of IT equipment.

A strong understanding of meeting management processes, including AV equipment, video conferencing tools, and other collaborative technologies, is essential. The specialist must demonstrate the ability to work autonomously while also being able to collaborate effectively with team members and management under light supervision.

Key Responsibilities:

1. IT Proximity Support:

• Provide on-site technical assistance and troubleshooting for client staff in GC Geneva.
• Providing on-site and remote technical support to most of our staff.
• Managing IT equipment, including laptops, printers, and video conferencing systems.
• Supporting and maintaining meeting room setups to ensure effective meeting management.
• Troubleshooting and resolving hardware and software issues promptly.
• Ensuring compliance with client IT policies and procedures.
• Collaborating with other IT teams to implement projects and deploy updates, upgrades, and best practices.
• Offer staff training, support and onboarding on IT tools, systems, and processes.

2. Meeting Management Support:

• Manage hybrid meetings/events (in-person and virtual) in GC Geneva, ensuring smooth operation of audio and video conferencing tools with multilingual interpretation services.
• Set up and manage video conferencing tools (e.g., Zoom, Teams), including scheduling, initiating, and troubleshooting remote connections.
• Provide real-time technical assistance during meetings, handling issues related to sound, video, or presentation equipment to ensure smooth meeting operations without disruptions.
• Address any technical issues that arise during the meeting, such as connectivity problems, sound interference, or device malfunctions, ensuring minimal disruption.
• Work closely with interpreters to ensure audio and visual equipment function seamlessly.
• Ensure all meeting rooms are equipped with the necessary technology, including video conferencing systems, projectors, microphones, and displays, and that these are correctly configured and tested prior to meetings.

3. EXD Support:

• Provide tailored technical support to the EXD to ensure all necessary IT equipment and meeting tools are fully functional and ready for use.
• Manage high-level meetings/events, ensuring the technical setup is customed to the needs of senior leadership.
• Anticipate and resolve any technical issues that could impact the EXD workflow, ensuring uninterrupted operations.
• Be ready for hands-on support for any specialized requests from the EXD related to IT matters.

Qualifications and Experience:

• Proven experience in IT support, with expertise in troubleshooting hardware, software, and networks.
• Proficient in managing and troubleshooting video conferencing systems (Zoom, Microsoft Teams, Cisco WebEx), AV equipment, and IT infrastructure in a meeting room environment.
• Experience in supporting and configuring integrated systems such as room booking tools, digital whiteboards, and collaboration platforms.
• Experience providing technical assistance to senior management or executives is a plus.
• Excellent communication skills, with the ability to engage with senior stakeholders professionally.
• Relevant IT certifications such as CompTIA A+, ITIL, or certifications in video conferencing platforms are a plus.
• Fluency in English is required; knowledge of French or other languages is an advantage.
• Familiarity with the protocols and requirements of supporting meetings and operations in a client or international organization setting is preferred.
